1. About these terms
These Terms of Use form a contract between you and Arts Thread Limited (we, us, or Arts Thread) when you use Arts Thread Vault (the Vault). Arts Thread Limited is registered in England and Wales under company number 06837670, with its registered office at 8 Blandfield Road, London SW12 8BG, United Kingdom.
By creating an account, accepting these terms when prompted, or continuing to use the Vault after a material update, you agree to these terms. If you use the Vault for an organisation, university, studio, or other entity, you confirm that you are authorised to accept these terms for that entity.
Other Arts Thread websites, competitions, programmes, or partner services may have additional terms. If additional terms conflict with these terms for a particular feature or programme, the additional terms apply to that feature or programme.
2. Eligibility
The Vault is intended for creators, students, graduates, educators, and authorised professional users.
- You must be at least 17 years old to open and control an individual account without additional consent.
- Users aged 14 to 16 may use the Vault only through an authorised educational or programme arrangement and with any parent or guardian consent required by law.
- Children under 14 may not open an individual Vault account.
- You must be legally able to enter into these terms and must not be prohibited from using the service under applicable law.
If an institution or programme provisions your account, it may confirm your eligibility and supply limited account or creation information. It does not receive access to your private content unless the product clearly shows that access or you choose to share it.
3. Accounts and security
- Provide accurate, current information and keep it up to date.
- Keep passwords, verification codes, recovery links, and Share room access credentials confidential.
- Do not share an account or allow another person to impersonate you.
- Tell us promptly if you suspect unauthorised access or a security incident involving your account.
You are responsible for activity through your account unless it results from our failure to use reasonable security measures. We may ask you to verify your identity or change credentials before restoring access.
4. The Vault service
The Vault lets you create a private space for a creation, upload and organise assets, record provenance information, generate timestamp certificates or reports, and provide selected people with access through a Share room.
Key terms used in the Vault
- Creation means a project, work, design, or other creative output registered in your account.
- Asset means a file, folder, note, image, video, document, or other material added to a creation.
- Evidence record means metadata and content associated with a creation at a point in time.
- Certificate means a timestamped snapshot generated from an evidence record.
- Share room means a controlled sharing space containing only the creations and assets selected by its owner.
We may improve, replace, or retire features. Where a change materially reduces a paid service, we will provide reasonable notice where practicable.
5. Plans, subscriptions, and payments
Free and paid plans may have different limits for storage, creations, active Share rooms, or other features. Current limits and prices are shown before purchase and in your account.
- Paid subscriptions are processed by Stripe. We do not store full card details.
- Recurring subscriptions renew at the billing interval shown at checkout until cancelled.
- You can cancel future renewal through the billing controls made available in the Vault. Cancellation does not normally refund an already-started billing period, except where required by law.
- Taxes may be added where applicable. Prices or plan features may change on reasonable notice.
- If payment fails, we may retry payment, restrict paid features, or move the account to an available lower plan.
Nothing in this section removes cancellation, refund, or other consumer rights that cannot legally be excluded.
6. Your content, ownership, and permissions
Your creations and assets remain yours. Arts Thread does not claim ownership of content you upload to the Vault.
You give us a non-exclusive, worldwide, royalty-free licence, limited to the period and purposes needed to operate the Vault. This allows us and our contracted service providers to host, copy, back up, secure, scan, convert, render, process, and display your content, and to share it only as you direct through Vault features.
The licence ends when the content is deleted from active systems, subject to reasonable backup cycles, legal retention requirements, and records that must be preserved for security, billing, fraud prevention, or audit purposes.
Your responsibilities
- You must own the content or have all permissions needed to store, process, and share it.
- You must accurately identify co-authors and must not assign ownership percentages without authority.
- You must not imply that another person, institution, or Arts Thread endorses a creation unless that is true.
- You are responsible for keeping independent copies of important source material.
7. Evidence, provenance, certificates, reports, and AI disclosures
Vault records are intended to help organise and document a creation's development. A certificate records the selected evidence and associated system data at the time it is generated.
- A certificate is not copyright registration, legal advice, an appraisal, or a guarantee of authorship, originality, ownership, priority, or admissibility in legal proceedings.
- Generating a later certificate creates another snapshot; it does not alter the content of an earlier certificate.
- Reports summarise available Vault records and may not contain every fact relevant to a dispute or evaluation.
- AI-use information and creation dates are supplied by users. We record those statements but do not independently verify them unless we expressly say otherwise.
You should obtain independent legal advice where rights, ownership, infringement, confidentiality, or a dispute matters to you.
8. Share rooms, viewers, and sharing
You control which creations and assets are included in a Share room and which access method, download permission, password, or expiry setting applies.
- Check a Share room before sharing its link. Anyone who satisfies its access settings may be able to view the included content.
- Removing an asset from a Share room does not retrieve copies already viewed or downloaded.
- Keep shared passwords and private links appropriate to the sensitivity of the content.
- Viewer entry, creation opens, previews, and download events may be logged and shown to the share room owner for security and provenance.
- Do not use viewer logs for unlawful monitoring, discrimination, harassment, or another purpose incompatible with the reason access was provided.
9. Acceptable use
You must use the Vault lawfully and respectfully. You must not:
- upload, store, or share content that is unlawful, fraudulent, defamatory, threatening, abusive, obscene, exploitative, or infringes intellectual property, privacy, confidentiality, or other rights;
- upload malware, harmful code, or content designed to disrupt systems or deceive recipients;
- probe, bypass, disable, or interfere with access controls, rate limits, security measures, or another user's account;
- scrape, harvest, or access the service by automated means except through an API or integration we expressly authorise;
- send spam, run unauthorised promotions, or use Share rooms to distribute unsolicited material;
- reverse engineer the service except to the limited extent that applicable law expressly permits it;
- use the Vault in a way that could harm Arts Thread, users, viewers, infrastructure, or the operation of the service.
We may remove or restrict content where reasonably necessary to investigate a report, comply with law, protect users, or secure the service.
10. Copyright and rights complaints
If you believe content in the Vault infringes your copyright or other rights, contact us with enough information to identify the content, explain your rights, locate the material, and contact you. We may ask for further evidence and may notify the account holder where appropriate.
Knowingly submitting a false or misleading complaint may cause harm and may have legal consequences.
11. Availability, storage, and backups
We use reasonable care to keep the Vault available and protect stored content, but no online service can guarantee uninterrupted access or permanent storage.
- Maintenance, security incidents, internet failures, supplier outages, legal requirements, or events outside reasonable control may interrupt service.
- Uploads may fail because of file format, device, browser, connectivity, storage capacity, or security controls.
- You should retain original files and export records you cannot replace.
- When an account closes or falls outside its plan limits, we may provide a reasonable period to export content before deletion or restriction, unless immediate action is legally or operationally necessary.
12. Third-party services and links
The Vault relies on carefully selected providers for hosting, storage, payments, email, analytics, monitoring, and other operations. Their services may be subject to separate terms and privacy notices.
Links to third-party websites do not mean that Arts Thread controls or endorses those websites. You use third-party services at your own discretion.
13. Suspension, termination, and account closure
You may stop using the Vault or request account closure at any time. We may suspend, restrict, or close an account where we reasonably believe:
- these terms have been materially or repeatedly breached;
- the account or content creates a legal, security, fraud, or safety risk;
- payment remains overdue;
- we must act to comply with law or a valid authority request; or
- the service is discontinued.
Where appropriate, we will explain the action and provide an opportunity to correct the issue or export content. Sections that by their nature should continue, including ownership, payment obligations, liability, and legal provisions, survive account closure.
14. Disclaimers, liability, and indemnity
The Vault is provided with reasonable care and skill. Except for rights and guarantees that cannot legally be excluded, we do not promise that every feature will be uninterrupted, error-free, suitable for a particular legal purpose, or accepted by a third party.
To the fullest extent permitted by law, Arts Thread is not liable for indirect or consequential loss, loss of opportunity, reputation, anticipated savings, or profit, or loss caused by content, access settings, recipients, or third-party services outside our reasonable control.
For paid services, and to the fullest extent permitted by law, our total liability arising from the Vault in any 12-month period is limited to the greater of £100 and the amount you paid for the Vault in that period. This cap does not apply where a limitation would be unlawful.
Nothing in these terms limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, deliberate misconduct, or any other liability that cannot lawfully be limited.
If your unlawful content or material breach causes a third-party claim against Arts Thread, you are responsible for the reasonable losses and costs resulting from that claim to the extent permitted by law.
15. Changes to these terms
We may update these terms to reflect product changes, legal requirements, security practices, or business operations. We will publish the new date and, for material changes, provide notice or ask you to accept the updated version before continuing to use authenticated features.
Changes do not apply retrospectively unless required by law or expressly agreed.
16. General legal terms
- Governing law. These terms are governed by the law of England and Wales. The courts of England and Wales have jurisdiction, subject to any mandatory consumer rights that allow you to bring a claim elsewhere.
- No waiver. A delay in enforcing a right does not waive that right.
- Severability. If a provision is unenforceable, the remaining provisions continue in effect.
- Assignment. You may not transfer your account or these terms without our consent. We may transfer them as part of a reorganisation, financing, or sale, provided your rights are not materially reduced.
- Third-party rights. Unless these terms expressly say otherwise, no third party may enforce them.
- Entire agreement. These terms, the Privacy Notice, the Cookie Policy, and any applicable plan or programme terms form the agreement for your use of the Vault.
